Viewing Leads on the Home Tab
When you log into Zoho CRM, the Home tab gives you an at-a-glance view of your lead pipeline. You’ll see:
Leads by Source – Breaks down leads from trade shows, email campaigns, web forms, cold calls, and direct marketing.
Leads Generated per Day – Shows how many leads arrive each day so you can forecast and assign work.
Lead Nurturing Stages – Displays whether leads have been contacted, qualified, or marked as junk.
Revenue per Day – Tracks your average revenue and progress against campaign goals.
This instant visibility helps you prioritise and plan follow-ups efficiently.
Adding Leads to Zoho CRM
Zoho CRM supports multiple ways to bring leads into the system:
Manual Entry – Click the Leads tab and add new records one by one.
Import from Spreadsheet – Upload a CSV file with your lead data.
Zoho Business Card Scanner App – Snap a photo of a business card on your phone and automatically create a lead.
Preparing Your Spreadsheet for Import
If you’re importing leads from a spreadsheet, make sure:
Row 1 contains field names (First Name, Last Name, Phone, Email, etc.).
All mandatory columns (Last Name and Company, by default) have data.
Save the file as CSV for the smoothest import.
Then, in Zoho CRM:
Go to the Leads module → Import (top right).
Choose Import My Leads if all leads are assigned to you.
Select your file.
Mapping Fields
After selecting the file, map each spreadsheet column to a Zoho CRM field. Mandatory fields must be mapped for the import to work. Once mapped, click Next and then Import. The confirmation screen will show how many records were imported or updated.
You can view:
Today’s Leads to see all newly imported records.
Recently Modified Leads if you used the overwrite option for updates.
Automating Lead Assignment
During the import, you can apply workflow assignment rules to automatically allocate leads to sales reps — for example, by region or ZIP code. This ensures the right people see the right leads as soon as they arrive.
Mass Emailing New Leads
A best practice after importing leads is to send a follow-up email. To do this:
Go to Setup → Templates → Email Templates.
Click New Email Template and add a subject line, reply-to address, and any attachments (e.g., product brochures).
Personalize your email using merge fields like first and last name.
Save the template.
Return to the Leads module, filter for your imported leads, select them all, and click Send Mail. Choose your template and send your email in one batch.
